Schedule

Please present during the following time slots on all three days:

  • 8/4 (Tue) 16:00 - 18:00
  • 8/5 (Wed) 16:00 - 18:00
  • 8/6 (Thu) 13:00 - 15:00

Setup

  • Delivery and setup will be possible from 14:00 to 17:30 on 8/3 (Mon).
  • If you plan to send equipment or printed materials in advance, please send them to the venue with prepaid shipping, specifying delivery on the morning of 8/3 (Mon).
  • In the remarks column of the shipping label, please write the following information:
    • “MIRU2026 Demo”
    • “Event & Exhibition Hall”
    • The booth ID as listed in the program
    • The sender’s (or the responsible person’s) mobile phone number
  • Packages without the required information may not be accepted.
  • Delivery address:

  • Packages delivered by courier will be placed in a designated delivery area inside or near the Event & Exhibition Hall.
  • The delivery area will not be locked. Please do not send valuables, precision equipment, expensive equipment, important documents, or similar items via courier; please manage such items yourself.

Removal

  • On the final day, 8/6 (Thu), dismantling and move-out should be carried out between 15:00 and 17:30.
  • Those wishing to ship via Yamato Transport must bring their packages to the designated pickup area by 16:50.
  • Collect-on-delivery slips and packing tape will be available at the venue.
  • Outgoing shipments via Yamato Transport will be accepted on a collect-on-delivery basis only.
  • Since shipping is via Yamato Transport’s “Takkyubin” service, each parcel is limited to a total length + width + height of 200 cm or less and a maximum weight of 30 kg. For reference: Yamato Transport
  • For participant safety, removal and shipping operations cannot take place during the Interactive Session (13:00–15:00).
  • Please complete the removal of all exhibits and equipment by 18:00.

Using Other Courier Companies for Delivery/Pickup

  • Unless there are special circumstances, we recommend using parcel delivery services (a courier company is optional) for incoming shipments and Yamato Transport’s “Takkyubin” for outgoing shipments.
  • Those who prefer using other courier companies must make their own arrangements directly.
  • For participant safety, courier companies are not allowed to pick up shipments during Interactive Sessions.
  • If you plan to use a vehicle, chartered delivery service, or loading dock for delivery/pickup, an advance application is required. Please contact us using the contact information below by 17:00 on July 17. We will coordinate based on your scheduled loading/unloading times and vehicle information (vehicle type and registration number).
  • A loading/unloading permit will be issued at a later date. Please display the permit in a clearly visible location on the vehicle on the day of delivery or pickup.
  • Detailed information about routes and arrangements for delivery/pickup vehicles will be communicated to demo presenters who plan to use them approximately two weeks before the event. Please note that vehicles that are not pre-registered may be denied access for loading and unloading.

Entry and Exit Times

  • Demo presenters can enter the Event & Exhibition Hall from 9:00 each day.
  • Further details regarding exit times will be announced at a later date.

Booth Specifications

  • The following will be provided:
    • Demo booth (approximately W1800mm x D1800mm)
    • Rear panel (W1800mm x H2100mm)
    • Side panel (W1800mm x H2100mm)
    • One table (W1800mm x D600mm)
    • Two chairs
    • One 500 W AC power supply (2 outlets)
  • Apart from the items listed above, presenters are expected to provide any additional equipment themselves.
  • Posters and other materials can be attached to the panels using push pins.
  • Presenters may arrange their exhibits freely within their assigned booth space. However, please ensure that exhibits do not extend into the aisles or create safety hazards for participants.
  • If the power supply provided is insufficient, please contact us in advance.
  • If you need more than two outlets, please bring your own power strip or extension cord.
  • If Internet access is required, please prepare your own network connection.

Photography by the Audience

If you do not want your demo to be photographed in the Interactive Session, please clearly indicate “No Photography/撮影禁止” on your poster or other materials.

Notes

  • To prevent loss during delivery, please carry your shipping receipt with you and include the recipient’s mobile phone number on the shipping label. Please take any other necessary precautions.
  • Although staff members will be present in the exhibition hall, the organizers are not responsible for the theft, loss, or damage of packages, exhibits, equipment, valuables, or other belongings. Please manage valuables, expensive equipment, and important exhibits carefully.
